I’ve been noticing over the last few weeks certain areas of my personal system not flowing as easily as they could. I’ve found myself at times not knowing what to do with pieces of information so putting them aside after taking time to ponder them. That means they are sitting as unprocessed and keep catching my attention or popping into my mind and distracting me from my real focus in the moment. I still have to deal with them at a later date thus doubling (or tripling in some cases) the amount of effort required to process them.
Having noticed this habit I’d got myself into, I was able to make a change.
That came in the form of reassessing my system so I had a more clearly defined process for the particular inputs so they were handled and the relevant information put into the most appropriate place.
- Project actions from multiple different meetings are now collated into a spreadsheet the whole team can access, update and add to if needed.
- ‘How to’ notes and workings are being collated into a OneNote sheet instead of sitting in a notebook. This allows easier sharing either by email or during an online meeting or working group session.
- Priority actions for the day are now decided at the end of the previous day and listed out on a physical planner that lives on my desk and gets ticked off as things are done. This allows greater focus and resistance to distractions when they show up and a great way to build the sense of achievement.
As a result, more of the important work is getting done and with less stress.
